How to Build an Employee Welcome Kit in the UAE
What to put in an onboarding kit, how to set a budget per joiner, and how to keep kits ready when you hire every month.

An employee welcome kit is a box of branded essentials that a new joiner receives on their first day. Done well, it makes people feel expected and part of the team before they open their laptop. For HR and people teams in the UAE, it is also one of the simplest ways to show your culture and employer brand.
What to put in an employee welcome kit
Most good onboarding kits combine four to six useful items:
- A drink bottle or tumbler. Used every day, especially in the UAE climate. See water bottles.
- A notebook and pen. Still the most used items in the first weeks of any job. See notebooks and diaries.
- A lanyard and ID holder. Practical on day one in offices with access cards. See lanyards and badge holders.
- Apparel. A t-shirt, polo or hoodie that people actually wear to team events. See t-shirts and polos.
- Tech. A power bank, cable set or laptop sleeve. See tech gadgets.
- A welcome card. A printed message from the CEO or team, in English and Arabic if your team is bilingual.
Ready-made kits to start from
You do not need to design a kit from scratch. These combinations are a good starting point and can be changed item by item:
- Essential kit: the essential employee welcome kit box with a bottle, notebook and pen.
- New joiner kit: a t-shirt, bottle and lanyard kit for teams that wear branded apparel.
- Tech kit: an onboarding backpack with tech accessories for office and hybrid staff.
- Remote kit: a home office welcome kit for people who start remotely.
- Eco kit: an eco welcome kit with tote, notebook and pen for companies with sustainability goals.
- Budget kit: a budget welcome pack in a kraft box for large intakes.

Setting a budget per joiner
Decide a budget per kit first, then pick items to fit it. A few principles help:
- Spend on the items used daily, such as the bottle and the bag, and keep extras simple.
- Use the same core kit for everyone and add one item by role or seniority.
- Order a quantity that covers several months of hiring. Larger runs usually lower the cost per kit, and many items have a minimum order quantity.
Share your budget and annual hiring numbers in your quote request, and we will suggest kits at that level.
Branding and packaging
- Screen printing and embroidery suit t-shirts, hoodies and bags.
- UV printing gives full-colour logos on bottles, power banks and notebook covers.
- Laser engraving gives steel bottles and metal pens a clean, permanent finish.
Presentation turns a set of items into a welcome. A custom printed gift box with tissue paper, a sticker seal and a printed card makes the first impression. Personalising each kit with the joiner's name adds a strong touch for smaller intakes.
Keeping kits ready when you hire every month
If you hire continuously, plan a rolling stock rather than ordering kit by kit:
- Order a batch that covers three to six months of joiners.
- Keep apparel in a size spread based on your past hires, or swap apparel for one-size items.
- Avoid dated items so stock never goes out of date.
- Reorder when stock reaches about two months of hiring, because lead times are counted from artwork approval.
For graduate intakes or large hiring waves, plan 4 to 6 weeks before the start date. See employee onboarding gifts for more ideas, and long service gifts for celebrating people later in their journey.
Next steps
Pick a kit as your starting point, change the items to suit your team, and request a quote with your budget per joiner, quantity and start dates.
